Job Description
Regal Security Inc. is seeking a Full-Time Security Scheduler to join our team, ensuring that all client sites are properly staffed with qualified, licensed security guards. This is an excellent opportunity to use your administrative and organizational skills in a dynamic and vital role within the security industry.
Responsibilities:
- Monitor scheduling systems to proactively plan future rosters, ensure all client sites are properly staffed, and fill open shifts well in advance.
- Act as a primary point of contact for inbound calls, texts, and emails regarding future scheduling availability, shift swaps, employee time-off requests, and client scheduling inquiries.
- Audit and track employee files to ensure all guards assigned to shifts possess a valid Ontario Security Guard License and any site-specific certifications (e.g., First Aid, CPR, Advanced Training) before booking them.
- Maintain an up-to-date database of guard availability, shift preferences, and contact details to streamline placement.
- Review completed shifts, process time-off requests, manage shift arbitrations, and perform administrative duties to ensure accurate reporting for payroll and client invoicing.
- Resolve scheduling-related inquiries and feedback from employees and clients (such as routine shift changes or permanent site assignments) in a timely manner.
- Accurately document scheduling notes, attendance records, and correspondence in the database to ensure smooth handovers for team members.
Requirements:
- Previous experience as a workforce scheduler, human resources coordinator, or working within the private security administration industry (preferred).
- Familiarity with provincial security guard licensing requirements and compliance standards.
- Comfortable using advanced scheduling software, database applications, and Google Workspace (GSuite).
- Strong verbal and written communication skills in English, maintaining strong customer service standards with guards and clients alike.
- Highly organized with exceptional attention to detail, capable of managing complex, multi-site scheduling grids without overlapping errors.
- Solution-oriented with the ability to proactively anticipate staffing shortages and think critically to solve scheduling challenges.
- Ability to work independently with minimal supervision, alongside flexibility regarding operational requirements.
Compensation:
The pay rate is $19 - $22 an hour (based on experience). Health benefits are available for full-time employees upon completion of a 3-month probation period.
